We are looking for a competent Event Manager to oversee and organize events that will make an impact to a target audience. You'll ensure events are successful and cost-effective, paying attention to budget and time constraints. Key Responsibilities: 1. Event Strategy & Planning: - Develop and implement comprehensive event strategies that align with the company’s goals and objectives. - Plan and coordinate all aspects of events, including logistics, timelines, venues, catering, and entertainment. - Work with senior management and stakeholders to define event objectives and key performance indicators (KPIs). - Manage the event budget and ensure that expenses are kept within approved limits. - Create detailed event plans, including timelines, checklists, and action items, to ensure smooth execution. 2. Vendor & Supplier Management: - Identify, negotiate, and manage relationships with vendors, suppliers, and service providers (e.g., caterers, decorators, AV technicians, entertainers). - Ensure that all vendors meet the company’s quality standards and deadlines. - Coordinate and oversee the setup and breakdown of event materials and equipment. - Manage contracts and ensure compliance with agreed terms and conditions. 3. Team Leadership & Coordination: - Lead, manage, and motivate a team of event coordinators, assistants, and volunteers. - Assign specific responsibilities to team members and ensure tasks are completed on time. - Provide guidance and support to team members before, during, and after the event. - Coordinate with internal departments (e.g., marketing, sales, and operations) to ensure all aspects of the event are covered. 4. Event Execution & On-Site Management: - Oversee the day-to-day operations of events, ensuring everything runs smoothly and according to plan. - Manage event staff and volunteers on-site, ensuring all roles are clear and executed efficiently. - Troubleshoot any issues that arise during the event, ensuring that problems are resolved quickly and effectively. - Ensure that all event activities comply with health and safety regulations and company policies. 5. Marketing & Promotion: - Collaborate with the marketing team to promote events through social media, email campaigns, and other marketing channels. - Develop event promotional materials, such as flyers, brochures, and signage, to increase event visibility. - Build and maintain relationships with key stakeholders, including clients, sponsors, and media outlets, to maximize event exposure. 6. Post-Event Evaluation & Reporting: - Conduct post-event evaluations to assess the success of the event and gather feedback from attendees, vendors, and team members. - Analyze event performance against KPIs and objectives, providing recommendations for improvements. - Prepare and present post-event reports to senior management, detailing event outcomes, ROI, and lessons learned. - Manage any follow-up communication with attendees, sponsors, and partners, including thank-you notes and surveys. 7. Budget & Financial Management: - Develop detailed event budgets and ensure that events are executed within the allocated budget. - Track expenses, process invoices, and provide regular budget updates to senior management. - Negotiate and manage contracts with suppliers, ensuring cost-effective pricing and value for the company. 8. Relationship Building & Networking: - Build and maintain strong relationships with key clients, partners, vendors, and sponsors. - Attend industry events and networking opportunities to keep abreast of trends and best practices in event management. - Cultivate new business opportunities and partnerships through successful event execution.
