As the External Application Release Associate Manager, you will work closely with the Project Manager to drive the successful execution of custom software projects, ensuring that our user-centric approach is consistently applied throughout the project lifecycle. Your role will also involve managing communications, helping with task management in Notion, and collaborating across teams using Microsoft Teams. ________________________________________ Key Responsibilities Project Management & Task Coordination • Plan, Track, and Update Projects: Collaborate with the Project Manager to create and maintain detailed project plans in Notion, ensuring that tasks, timelines, and milestones are clearly defined and progress is accurately tracked. o Align project schedules with business objectives, ensuring that all tasks and resources are effectively managed to meet client needs and timelines. o Monitor project progress and proactively identify any issues or risks, escalating them as necessary to ensure successful project delivery. • Efficient Task Allocation: Coordinate with cross-functional teams (including developers, designers, and QA) to allocate tasks based on project priorities. o Ensure that all tasks are well-defined, resources are allocated efficiently, and deadlines are met within a lean thinking framework that optimizes productivity. • Cross-Functional Team Collaboration: Facilitate smooth communication and collaboration across teams in Singapore, Malaysia, and China, ensuring that all team members are aligned on project goals, deliverables, and timelines. o Lead project meetings, ensuring action items are tracked and follow-up tasks are promptly addressed through Microsoft Teams and Notion. Client Liaison & Scope Management • Client Communication & Requirement Gathering: Serve as the main point of contact for clients, ensuring that project scope, business requirements, and user needs are clearly understood and communicated to the development team. o Use Proteus’ user-centric approach to engage with clients and gather their unique requirements, ensuring the software solution is tailored to both their business pain points and their end-users’ needs. • Scope Definition & Change Management: Assist the Project Manager in managing scope changes and ensuring that new requirements are communicated effectively, documented, and tracked in Notion. o Provide clients with regular progress updates, addressing concerns or changes in scope in a timely and professional manner through Microsoft Teams. Quality Assurance (QA) Support • Support QA Processes: Assist the QA team in developing test cases, executing tests, and tracking defects. Log any identified issues in Notion and work with the development team to ensure timely resolution. o Help ensure that all software releases meet Proteus’ high quality standards and that user-centric features are thoroughly tested for optimal performance. • Monitor Issue Resolution: Collaborate with developers and QA to ensure that all identified issues are promptly addressed, and any blockers that may affect the quality of the product are resolved before delivery to the client. Documentation & Reporting • Maintain Project Documentation: Keep all project documentation up-to-date and organized in Notion, including project plans, meeting notes, risk logs, and client communications. o Ensure that all documentation reflects Proteus’ commitment to lean thinking and efficient, transparent project management processes. • Reporting and Status Updates: Regularly update internal teams and clients on project status, ensuring clarity around milestones, deliverables, and any potential risks to the timeline or budget. o Prepare detailed status reports, tracking project performance and progress against agreed-upon KPIs and deliverables. • Risk & Issue Management: Monitor and document any project risks, proactively working with the Project Manager to identify mitigation strategies and ensure they are communicated clearly to all relevant stakeholders. Lean Thinking and Growth Mindset • Resource Optimization: Apply lean thinking principles to ensure the efficient use of project resources, while ensuring high-quality delivery of all project components. o Promote a growth mindset by proactively learning and adapting to new tools, processes, and technologies to better serve the needs of the team and the client. • Continuous Improvement: Contribute ideas for process improvements and best practices, supporting Proteus’ commitment to continuous learning, innovation, and adaptability in a fast-paced development environment. ________________________________________ Qualifications • Education: Bachelor’s degree in Computer Science, Information Technology, Business, or a related field. • Experience: At least 2-3 years of experience in project coordination, project management, or a similar role in the software development or IT industry. o Proven ability to work with cross-functional teams in different regions (SG, MY, CN) is a plus. o Familiarity with Notion for task management and Microsoft Teams for communication is highly desirable. • Technical Skills: o Strong proficiency in using Notion to manage tasks, track progress, and maintain documentation. o Solid understanding of Agile methodologies (e.g., Scrum), and the software development lifecycle. o Basic knowledge of QA processes, testing tools, and bug-tracking systems. • Soft Skills: o Excellent communication skills with the ability to build relationships with clients, stakeholders, and cross-functional teams. o Strong organizational skills with the ability to handle multiple projects simultaneously while meeting deadlines. o Problem-solving attitude with a keen focus on delivering efficient and user-centric solutions. ________________________________________ Preferred Skills • Languages: Proficiency in English and Mandarin is an advantage for communicating with clients and teams in Singapore, Malaysia, Indonesia and China. • Agile Experience: Experience in Agile environments, including Scrum ceremonies (e.g., sprint planning, retrospectives), is a plus. • Cross-Cultural Experience: Experience working in teams across different regions in Asia (Singapore, Malaysia, Indonesia and China) is highly desirable. ________________________________________
