Job Description:
We are seeking a highly organized and proactive Business Administrative Executive to support our daily operations and ensure smooth coordination across various departments. The ideal candidate will manage essential administrative tasks, support warehouse and logistics operations, and provide excellent reception services.

Key Responsibilities:

1. Documentation and Record Management:

  • Prepare and manage sales orders, invoices, and delivery orders with accuracy and timeliness.
  • Maintain records of transactions, client communications, and inventory data for easy reference and compliance.
  • Organize and archive company documentation, ensuring confidentiality and proper record-keeping.

2. Warehouse Management:

  • Oversee the organization and inventory of the warehouse to ensure efficiency and accuracy.
  • Conduct regular stock checks and audits to maintain updated inventory records.
  • Coordinate with the warehouse team to optimize space utilization and improve operational workflows.

3. Logistics Management (Local):

  • Plan and coordinate local deliveries to ensure timely and accurate dispatch of goods.
  • Liaise with transport companies and drivers to schedule deliveries and track shipments.
  • Handle issues related to transportation, such as delays or damages, and ensure prompt resolutions.

4. Reception and Front Office Duties:

  • Greet visitors and clients professionally, ensuring a welcoming experience.
  • Manage incoming calls, emails, and correspondence, directing them to the appropriate departments.
  • Maintain a tidy and professional front office environment.

5. Administrative Support:

  • Monitor office supplies and coordinate with vendors for replenishments and procurement.
  • Assist in preparing reports, presentations, and meeting materials as needed.
  • Schedule and manage appointments, meetings, and company events.

6. Customer Support:

  • Handle customer inquiries related to orders, deliveries, and general concerns.
  • Resolve customer complaints efficiently, ensuring high levels of satisfaction.

7. Other Responsibilities:

  • Collaborate with the sales and operations teams to support their administrative needs.
  • Assist in the preparation of audit-related documents for compliance purposes.
  • Proactively suggest and implement improvements to administrative processes.

Requirements:

  • A diploma or degree in Business Administration or a related field.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with inventory management or ERP systems.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Prior experience in administrative roles, warehouse management, or logistics is an advantage.

Job Type: Full-time

Pay: RM2,000.00 - RM3,000.00 per month

Supplemental Pay:

  • 13th month salary
  • Attendance bonus

Education:

  • STM/STPM (Preferred)

Experience:

  • Administration: 1 year (Preferred)
