Executive, Administration
Administrative Tasks:
- Handle administrative duties such as filing, photocopying, and report preparation.
- Administer critical operations software (e.g., CMMS) and issue memos or notifications.
- Maintain organized filing systems for documents (both soft and hard copies).
- Track and manage work orders, including monitoring their status.
- Liaise with customers/tenants for communications and approvals.
Reporting and Meetings:
- Prepare, review, and submit monthly customer reports by set deadlines.
- Document and file meeting minutes for regular customer and internal meetings.
Procurement and Inventory:
- Coordinate with procurement teams to manage purchase requests and budgets.
- Monitor spare parts inventory and ensure stock levels remain above minimum requirements.
Documentation and Compliance:
- Ensure proper documentation referencing, archiving, and version control.
- Compile and maintain documents for audits and reviews (e.g., ISMS, PCI-DSS).
Operations Support:
- Manage staff leave records, shift duty rosters, and upload schedules to CMMS.
- Develop and upload work orders, work plans, and preventive maintenance schedules into CMMS.
- Use CMMS to generate various operational reports for stakeholders.
Job Type: Full-time
Pay: RM3,000.00 - RM4,000.00 per month
