Role Overview

We are seeking a highly organized Administrative Assistant to join our Marketing Team and provide essential support, with a primary focus on managing D365 invoicing and administrative tasks. You will play a key role in ensuring our finance-related operations run smoothly by processing and managing invoices within Microsoft Dynamics 365 (D365), coordinating vendor payments, and collaborating closely with marketing stakeholders to ensure timelines and budgets are met.

Key Responsibilities

  • D365 Invoicing & Financial Admin:
    • Process, track, and manage vendor invoices and payments using Microsoft Dynamics 365 (D365).
    • Ensure accurate data entry and cross-check all records against approved budgets and marketing purchase orders (POs).
    • Coordinate invoice approvals with internal stakeholders and ensure timely submission for finance processing.
    • Reconcile any discrepancies between invoices, POs, and payments.
  • Administrative Support:
    • Maintain and organize digital records of all marketing invoices and financial documentation.
    • Assist the marketing team with budgeting reports and financial summaries when needed.
    • Liaise with finance and procurement teams to resolve payment or system-related issues.
    • Prepare purchase requisitions and follow up on vendor agreements and contracts to ensure compliance.
  • Vendor Coordination:
    • Act as the primary point of contact for vendor invoicing-related queries.
    • Ensure vendors are provided with the correct documentation and payment timelines.

Requirements

  • Education: Diploma or degree in Business Administration, Finance, Accounting, or a related field.
  • Experience: 2+ years of experience in an administrative or finance support role, preferably with D365 (Microsoft Dynamics) or similar ERP systems.
  • Strong knowledge of invoicing processes, budget tracking, and procurement workflows.
  • Exceptional organizational and time-management skills, with strong attention to detail.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Strong communication skills to coordinate with internal teams and external vendors.
  • Ability to work independently and prioritize tasks in a fast-paced, dynamic environment.
