Job Purpose

To provide essential support to executives, ensuring their day to day operations run smoothly. The role will be pivotal in enabling the efficient functioning of the executive's office.

Key Responsibilities

  • Take and distribute meeting minutes.
  • Arrange internal and external meetings, ensuring all logistics are in place.
  • Prepare presentation slides and meeting materials as required.
  • Facilitate communication and coordination between Directors and other team members.
  • Respond to incoming emails, memos and other correspondence.
  • Manage appointments, schedule meetings and handle day to day correspondence.
  • Handle the MD's personal banking, including transactions, utilities, tenancy agreements and monthly creditors.
  • Assist in secretarial duties, including reviewing and circulation documents for signing.
  • Maintain and update contact lists, databases and filing systems.
  • Ensure compliance with legal and regulatory documentation and record keeping requirements.
  • Provide support for adhoc administrative tasks as needed, ensuring the smooth operation of daily business functions.

Requirements

Qualification and Experience

  • Bachelor Degree in any discipline.
  • Min 1-2 years of relevant working experience.

Knowledge and Skills Required

  • Good written and verbal communication skills.
  • Proficient in MS Office applications.
  • Wide degree of creativity and able to evaluate multiple highly detailed tasks.
  • Ability to react promptly and effectively to adhoc requests and changes, ability to problem solve with good judgement and decision making skills.
  • Able to organize and manage multiple priorities for maximum delivery results.
  • High level of integrity, initiative and results oriented.
