We are an independent creative agency that takes pride in every challenge, story, and brand we build for our clients. We are seeking an Admin & Finance Executive who is meticulous, proficient in time management and can handle multiple assignments simultaneously.

Administrative:

  • Act as the main point of contact for any general office and/or facility-related concerns.
  • Oversee facility management matters such as fixed asset inventories, work-desk allocation, office access card, phone system, door system, etc.
  • Answer all incoming calls and either redirecting them to the appropriate party or handling caller inquiries wherever possible.
  • Receive mail and arrange dispatch.
  • Ensure the cleanliness/tidiness of the workplace.
  • Perform administrative and general office duties.
  • Replenish and manage inventory of office equipment, stationery, pantry supplies.

Finance:

  • Assist in preparing full sets of accounts, handle & monitor accounts payable & accounts receivables.
  • Responsible and ensure prompt to perform billing activities in the billing system to meet all billing timeline in an accurate manner.
  • Generate and send out invoices to customers on time.
  • Follow up with customers for overdue debts and co-ordinate with billing team on disputes.
  • Assist in the preparation of spreadsheets, reports and correspondence as required.
  • Account and cashflow monitoring.
  • Carry out reporting activities according to specific deadlines.
  • Liaise with external parties on auditing, tax, and secretarial matters.
  • Ensure compliance with financial regulations, tax requirements and reporting standards.
  • Take charge of payroll administration and ensure smooth payroll processing.

Human Resource:

  • Assist on HR functions including recruitment, on-boarding/off-boarding of employee, employee improvement plans and implementing HR policies set by the company.
  • Supervise and monitor employee deliverables.

Qualifications / Experience:

  • Diploma in Administration, Accounting, Finance, HR or any other equivalents qualification.
  • 1-2 years working experience in accounting/finance/admin/HR.
  • Proficiency in bookkeeping practices, accounting terminology, accounting standards and legislation.
  • Proficiency in Microsoft Office and accounting software.
  • Self-starter with excellent administrative and organizational skills.
