In this pivotal role, you will be the backbone of our executive operations, ensuring seamless coordination and execution of daily activities.

Job Summary: To provide high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Key Responsibilities:

  • Administrative Support: Manage and maintain executives’ schedules, including scheduling meetings, appointments, and travel arrangements.
  • Communication: Review, prioritize, and respond to emails; answer and return phone calls; draft memos and other communications on behalf of the executive.
  • Document Management: Organize documents, maintain records, and prepare reports and presentations.
  • Meeting Coordination: Take notes at meetings, prepare agendas, and ensure follow-up on action items.
  • Project Management: Assist with special projects, including research and data collection.
  • Client Interaction: Act as a liaison between the executive and clients, managing communications and ensuring timely responses.
  • Office Management: Oversee office operations, including ordering supplies and managing office equipment.

Skills and Qualifications:

  • Education: Bachelor’s Degree in Business Administration or related field preferred.
  • Experience: Minimum of 3-5 years of experience in an executive assistant role or similar position.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management is a plus.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organizational Skills: Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Interpersonal Skills: Ability to interact professionally with all levels of staff and clients.
  • Problem-Solving: Strong problem-solving skills and attention to detail.
