We are looking for a proactive and organized Administrative Assistant to support our office operations. If you thrive in a fast-paced environment and have a passion for ensuring smooth day-to-day activities, this role is for you.
Key Responsibilities:
- Answer and field phone calls in a professional and courteous manner.
- Assist with general office administration tasks, including workspace setup, office security, equipment maintenance, and mailing duties.
- Manage office supplies and prepare purchase orders for head office expenses.
- Handle staff benefits administration, such as parking arrangements, etc.
- Track and manage incoming/outgoing documents and parcels.
- Submit invoices daily to relevant departments and ensure timely payments.
- Maintain office facilities, including stationery, equipment, and cleanliness.
- Oversee staff travel arrangements and prepare necessary authorization letters.
- Support booking accommodation and air travel for staff.
- Ensure common areas are sanitized and well-maintained.
- Provide backup support in meeting refreshments and CEO assistance when necessary.
- Welcome visitors and deliver exceptional customer service at reception.
- Maintain an accurate log of administrative expenses and activities.
