The Policy Servicing Administrator is responsible for the efficient administration and management of insurance policies throughout their lifecycle. This role involves processing policy updates, handling client inquiries, ensuring compliance with regulatory requirements, and providing exceptional service to policyholders.

Key Responsibilities:

Policy Administration:

  • Process new policy applications, endorsements, renewals, and cancellations accurately and in a timely manner.
  • Maintain and update policy records in the system, ensuring data integrity and accuracy.
  • Coordinate with underwriters and other departments to resolve policy issues and discrepancies.

Client Interaction:

  • Respond to policyholder inquiries via phone, email, or in person, providing clear and accurate information.
  • Address and resolve policyholder concerns, complaints, or requests, ensuring high levels of customer satisfaction.
  • Communicate policy changes, updates, and renewal notices to clients.

Compliance and Documentation:

  • Ensure all policy servicing activities comply with company policies, industry regulations, and legal requirements.
  • Prepare and review policy documents, ensuring they are complete and accurate before issuance.
  • Maintain confidentiality and security of client information and company records.

Reporting and Analysis:

  • Generate and analyse reports related to policy servicing activities, such as policy lapses, renewals, and amendments.

Collaboration and Support:

  • Work closely with other team members, including sales, underwriting, and claims departments, to ensure seamless policy servicing.
  • Provide support and training to junior staff or new team members as needed.
  • Assist in developing and implementing process improvements to enhance efficiency and service quality.

Qualifications:

  • Education: High school diploma or equivalent required.
  • Experience: Previous experience in insurance policy administration or a related field is highly desirable.
  • Skills:
    • Strong organizational and time-management skills.
    • Excellent communication and interpersonal abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with insurance management systems.
    • Attention to detail and accuracy.
    • Ability to handle sensitive information with discretion.
