Job Overview:

Admin required for SISO (Specific Instruction for Simultaneous Operations) and PTW (Permit to Work) Coordinator for Kasawari project.



Key Tasks and Responsibilities:

  • Assist in the smooth functioning of the chartering department by providing comprehensive administrative support
  • Coordinate daily activities related to vessel chartering, including communication with shipowners, brokers, and other stakeholders
  • Prepare and process accurate documentation for charter party agreements, and ensure adherence to industry standards and legal requirements
  • Maintain up-to-date records of charter party negotiations, vessel availability, availability of cargoes, and freight rates
  • Collaborate with the chartering team to monitor and manage vessel schedules, and ensure timely departures and arrivals
  • Assist in tracking vessel performance, analyze key performance indicators, and report on any deviations or issues
  • Assist in ensuring compliance with industry regulations and standards, such as ISM Code, SOLAS, and FLAG state requirements
  • Collect and compile necessary documentation for vetting processes, including but not limited to pre-chartering inspections and vessel audits
  • Collaborate with internal teams and external parties to resolve any non-compliance issues, and maintain accurate records of resolutions and actions taken
  • Support the implementation and maintenance of safety management systems, including incident reports and investigation
  • Assist in coordinating internal and external audits, and ensure readiness and adherence to established quality standards
  • Monitor industry trends and regulatory updates to proactively address any changes that may impact the chartering and assurance function

Essential Qualifications and Education:

  • High School Diploma, or a related field experience
  • Previous experience in a similar role within the marine function of an EPCI industry is preferred
  • Solid understanding of the EPCI industry, with specific knowledge of marine operations, chartering processes, and assurance requirements
  • Strong organizational skills with exceptional attention to detail to manage multiple tasks, deadlines, and documentation accurately
  • Excellent communication and interpersonal skills, capable of collaborating effectively with stakeholders at all levels
  • Proficiency in using industry-specific software, tools, and databases for chartering, compliance, and documentation management
  • Strong analytical and problem-solving abilities, capable of proactively identifying issues and proposing effective solutions
  • Familiarity with industry regulations and standards, including ISM Code, SOLAS, and FLAG state requirements
  • Proven ability to work independently as well as part of a team, demonstrating a high level of initiative and self-motivation
