Responsibilities:
Provide various secretarial support to the board of the organisation, ensuring efficient coordination and preparation of meetings, including circulation of materials, documentation, records/archive management, and other follow-up responsibilities. The various types of meetings include monthly Bar Council meetings, committee meetings, annual general meetings, and other assigned meetings;
Prepare, review, and edit various types of documents, with a primary focus on preparing minutes of meetings, other relevant information and actionable items;
Retrieve, extract and compile data, information, decisions, and other relevant communication/details involved in previous meetings, creating/maintaining a well-organised repository of historical information;
Safeguard sensitive and confidential information, exercising a high degree of discretion and confidentiality;
Provide other general administrative support to the office, including tasks such as printing, scanning, filing and creating/maintaining relevant internal databases in physical and electronic formats;
Perform additional administrative duties as directed by the Chief Executive Officer and Deputy Chief Executive Officer.
Qualifications and Requirements:
Minimum of three years professional experience as a competent Confidential Secretary or similar role, preferably supporting high-level executives.
Excellent command of English and good command of Bahasa Malaysia, both written and spoken;
Detail-oriented, meticulous, consistent, and thorough;
Highly organised, resilient and consistently meet deadlines;
Demonstrated ability to prioritise multiple workloads and conflicting needs, and handle matters proactively and expeditiously;
Excellent interpersonal and communication skills.
Discretion and integrity in dealing with confidential matters.
Self-motivated and driven to improve. Adaptive and collaborative, yet able to work independently;
High level of computer literacy, including proficiency in using Microsoft Office Suite or Google Workspace.
