Job Description:

We are seeking a motivated and fluent Mandarin-speaking Business Assistant to join our team, specializing in procurement, logistics, and sales support. This role is pivotal in ensuring seamless operations across procurement, logistics management, and sales coordination, particularly in engaging with Mandarin-speaking clients, suppliers, and partners.

Key Responsibilities:

Procurement Coordination:

  • Source, negotiate, and procure materials, goods, and services from Chinese-speaking suppliers.
  • Manage procurement processes from requisition to delivery, ensuring efficiency and cost-effectiveness.
  • Maintain relationships with suppliers and manage contract agreements in Mandarin.

Logistics Management:

  • Coordinate international shipments and customs clearance, ensuring timely delivery.
  • Communicate effectively with Chinese-speaking logistics providers to track shipments and resolve issues promptly.
  • Optimize logistics processes to minimize costs and improve delivery timelines.

Sales Support:

  • Assist in preparing sales proposals, quotations, and presentations in Mandarin.
  • Coordinate sales orders and manage customer inquiries and requests.
  • Support sales team efforts in achieving revenue targets and customer satisfaction.

Documentation and Reporting:

  • Maintain accurate records of procurement transactions, logistics activities, and sales orders.
  • Prepare regular reports on procurement, logistics performance, and sales activities.
  • Analyze data to identify trends, opportunities for improvement, and cost-saving initiatives.

Support for Operations:

  • Collaborate closely with internal teams (such as finance, marketing, and operations) to ensure alignment and support across functions.
  • Provide administrative support, including scheduling meetings, managing correspondence, and translating documents between Mandarin and English as needed.

Qualifications:

  • Fluency in Mandarin (written and spoken) is essential; proficiency in English is also required.
  • Bachelor's degree in Business Administration, Supply Chain Management, Sales, or a related field.
  • Proven experience in procurement, logistics, and sales support, preferably in an international business setting.
  • Strong negotiation skills and the ability to build and maintain relationships with Chinese-speaking stakeholders.
  • Familiarity with procurement software and proficiency in MS Office applications.
  • Strong analytical skills with the ability to interpret data and make informed decisions.
