Job Responsibilities:

Payroll & Compliance

  • Coordinating with runners in preparing all the necessary documents for visa/employment pass application for existing employees and new hiring.
  • Submitting the MyFutureJobs Portal hiring report to PERKESO to retrieve the exemption letter for the expatriate hirings for the company.

Office Administration & Management

  • Managing the stationeries and paper, pantry goods business card, Shell fleet card, sim card, company stamp, signatory stamp, service report based on the requisition and process for the payment. Corporate T-shirt ordering based on the requisition.
  • Monitoring services such as security, cleaner, hygiene vendor (Rentokil Initial), water filters, printers including the payment processing in Ariba system in a timely manner.
  • Consulting with local maintenance/technician for any faulty issues and disruptions such as water supply issue, blockage, short circuit, lighting issues etc. and rectify the issue in a timely manner.
  • Validating the courier service consignment note (City-Link & GD Express Sdn Bhd) against invoice and process for the payment.
  • Extract invoice from respective portals for gas consumption (Shell Fleet Hub), mobile and sim card service billing (MAXIS), Unifi/WIFI (Telekom Malaysia), electricity (Tenaga Nasional Berhad), water bills (Air Selangor).
  • Managing and processing the office rental and Indah Water billing sent by the landlord monthly and ensuring the payment is made by the seventh of every month.
  • Supplier/vendor registration in Ariba system for payment processing.
  • Checking mailbox in the office
  • Movement to new office

Prepare and issue letters

  • Pre-employment medical check-up
  • Invitation letters for business travel and visa application
  • Employee verification letter for bank submission

Employee Engagement & Culture

  • Organizing engagement for the country, which includes Town halls, Annual kick off meets, and regional engagement interventions based on SEA calendar for the fiscal year.
  • Actively organizing Corporate Shared Value (CSV) programs for employee engagement activities such as SOAP for Hope and plastic shredder activities.
  • Seasons wishes and greetings for all the celebrations and festivals, office décor and office celebration arrangements contributing to inclusive and collaborative culture.

Employee Onboarding and connect

  • Validating the agency/partners’ invoice on recruitment fee of successful hirings with Talent Acquisition Lead before payment processing.
  • Distributing the joining kit to all the new hires on date joining.
  • Coordinating with the reporting manager and agency for contract staff hiring based on business needs and approvals.
  • Managing the new hires and existing employees who are under contractual/third party vendors.
  • Coordinating with IT support for laptop configuration for new hires.

Job Requirement:

  • SPM and above with minimal 1 - 2 years of experience in relevant field
  • Good command of English
  • Proficient in Microsoft Excel
  • Familiarity with administrative duties
  • Attention to detail & Confidentiality
  • Organization skills, with an ability to stay focused on assigned tasks

Job Details:

  • Working Days : Monday - Friday
  • Working Hours : 8.30am - 5.30pm
  • Working Location : Seksyen U5, Mutiara Subang, 40150 Shah Alam, Selangor
  • Contract : 12 months (view to extension subject to performance and approval)
  • Salary: up to RM 4000 (based on last drawn salary & years of experience)
  • Allowance : RM 100 mobile allowance
