Job Overview:

We are seeking a proactive and detail-oriented Administrative Assistant to support the marketing team in day-to-day operations. The ideal candidate will be responsible for providing administrative and project support, helping the team stay organized, and facilitating the smooth execution of marketing activities. This role requires excellent organizational skills, strong communication, and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities:

Administrative Support:

  • Manage and organize the marketing department’s calendar, meetings, and appointments.
  • Prepare and distribute marketing materials, reports, and presentations as needed.
  • Handle internal and external communication, including responding to emails and calls.
  • Assist in maintaining marketing databases, files, and records.

Project Coordination:

  • Assist with project management, ensuring deadlines are met and deliverables are completed on time.
  • Track the progress of marketing initiatives and follow up with team members to ensure tasks are on schedule.
  • Support cross-department collaboration by coordinating with other teams such as sales, design, and product development.

Documentation & Filling:

  • Maintain and update office records, databases, and filing systems (both physical and digital).
  • Perform data entry tasks, ensuring accurate and timely input of information into relevant systems.
  • Organize and store documents and confidential files according to company policy.

Expense and Budget Management:

  • Assist in monitoring budgets and preparing expense reports.
  • Track office expenses, handle petty cash, and submit invoices for approval.
  • Coordinate with finance or HR departments to ensure timely processing of expenses and reimbursements.

General Office Support:

  • Provide general administrative support to the broader team, handling day-to-day office needs.
  • Coordinate travel, accommodations, and itineraries for the marketing team when attending events or client meetings.

Requirements:

  • SPM level, Diploma/ Bachelor’s in a related field, or significant equivalent work experience.
  • Proven experience in an administrative, office support role, or similar role is a bonus.
  • Strong verbal and written communication skills in Malay, Mandarin, and English
  • Excellent organizational and time management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
