The Executive Assistant provides continuous support to Management by offering administrative assistance as and when requested. An Executive Assistant needs to have a deep understanding of the company and its staff members. You are expected to be good at multitasking, to have great interpersonal skills, be able to take initiative when necessary, and be presentable and professional. Duties and Responsibilities: - To provide timely assistance to the Management, especially the Directors such as managing and organizing work calendar, scheduling meetings and arranging logistics, and any other daily administrative support as and when requested; - To manage incoming emails, calls, and inquiries and be efficient in prioritising and directing them properly; - To coordinate and assist in organising events at Penang Institute; - To coordinate the Institute’s administration system, compliance and general workflows; - To provide basic support to IT requests within Penang Institute; - To assist in Penang Institute’s building management when the need arises; - To assist with project planning, organisation and execution; - To support the administration unit when the need arises; - To develop working relationships with internal and external stakeholders. Minimum Qualifications and Experience Required: - At least a Bachelor in relevant discipline. Having a Master degree in business administration or equivalent is a plus; - A minimum of 3-5 years of work experience in a related field. An ideal candidate will be someone who has experience in administrative support for senior leaders; - Strong written and verbal communication skills in English. Bilingual or multilingual proficiency is a plus; - Ability to perform under demanding and time-sensitive environment; - Ability to work outside normal office hours as and when required; - Ability to proactively handle any arising issues and troubleshoot emerging problems; - Be computer literate, tech-savvy, proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace; - Must have valid working rights in Malaysia; and - Be based in Penang. Please note that this is an on-site position that requires physical attendance in the office from Monday to Friday.
