Schedule and Calendar Management: • Organize and maintain the director calendar, including meetings, appointments, and events. • Coordinate travel arrangements, accommodation, and transportation as needed. • Prioritize and manage the director time efficiently. ii. Communication and Correspondence: • Manage incoming calls, emails, and other forms of communication on behalf of the director. • Draft, edit, and proofread documents, letters, emails, and reports. • Respond to inquiries and handle routine matters independently when possible. iii. Information, Document and Office Management: • Organize and maintain files, records, and confidential information. • Conduct research and gather data as required by the director. • Prepare and collate materials for meetings, presentations, and projects. • Oversee office supplies, equipment, Stationary, maintenance and Agent Cleaner Unit. • Coordinate with vendors and service providers for office-related services if needed. • Ensure a clean, safe, and organized work environment. iv. Administrative Support: • Provide administrative assistance, such as expense tracking, budget management, and invoicing. • Handle routine administrative tasks to ensure smooth day-to-day operations. • Assist in preparing agendas and taking minutes during meetings. • Greet visitors and direct them to the appropriate personnel. • Maintain and organize physical and digital files and records. • Assist in scheduling appointments and meetings. v. Relationship Management: • Act as a liaison between the director and internal/external stakeholders. • Build and maintain professional relationships with clients, colleagues, and business partners. • Coordinate with other staff members to ensure seamless communication and collaboration. vi. Personal Assistance: • Provide personal support to the principal, which may include managing personal appointments, Menu Meal table and household tasks. • Handle personal correspondence and maintain confidentiality in personal matters. vii. Financial and HR Support: • Assist with basic bookkeeping tasks, such as invoicing and expense tracking. • Collaborate with the finance team for financial documentation (manage claim for director and Driver). • Aid in new employee onboarding, including preparing paperwork and orientation materials. • Setting date and time, - screening session interview if needed • Helping and Maintain employee records and update HR databases. • Assist in organizing employee events and activities.
