Roles and Responsibilities 1. Employee Records Management o Maintain and update employee files, ensuring all records are accurate and securely stored. o Handle documentation such as contracts, offer letters, and termination notices. 2. Recruitment Support o Schedule and coordinate interviews, manage applications, and assist with onboarding new hires. o Prepare onboarding materials and facilitate the orientation process. 3. General Administrative Support o Handle HR-related communications, manage office supplies, and organize HR meetings. o Serve as the initial point of contact for employee inquiries and issues. 6. Safety and Health Compliance o Assist in implementing workplace safety and health policies. o Manage incident reporting, coordinate safety training, and ensure compliance with safety regulations. 7. Leave Management o Process leaves requests, maintain accurate leave records, and ensure compliance with leave policies. o Provide leave reports and assist with return-to-work coordination. 8. Assisting in Training & Learning o Coordinate and track employee training sessions. o Maintain training records, collect feedback, and promote learning opportunities. 9. Memorandum, Minutes & Letters o Draft, distribute, and manage HR-related memorandums, minutes of meetings, and official letters. o Ensure all communications are clear, professional, and aligned with company policies. 10. Draft Policies o Assist in drafting, reviewing, and updating HR policies and procedures. o Ensure that policies are in compliance with legal requirements, including the Sabah Labour Ordinance, and reflect best practices. 11. Stay Updated on Legal Changes o Regularly review updates and changes in employment laws and regulations in Malaysia and the Sabah Labour Ordinance. o Attend relevant workshops, seminars, and training to remain informed about new legal requirements and best practices.
