Responsibilities
1. Filing of Business Records
1. Filing of Business Records
- Organizing and maintaining business records: Ensuring that all physical and electronic documents related to company transactions, correspondence, contracts, invoices, receipts, and reports are properly categorized and stored.
- Ensuring compliance with legal and regulatory standards: Keeping records in compliance with industry regulations and company policies. This may include adhering to confidentiality guidelines and retention periods for certain documents.
- Digitalization of physical documents: Scanning, uploading, and organizing paper records into server to ensure easy access and reduce physical storage needs.
- Periodic audits and reviews: Regularly reviewing and auditing records to ensure that everything is up to date and there are no discrepancies or missing files.
- Facilitating easy retrieval of documents: Developing an efficient filing system that allows quick retrieval of documents as needed by team members or management.
2. Assist in E-Invoicing Setup
- Data entry and integration: Inputting necessary details, such as client and vendor information, tax details, and payment terms, into the e-invoicing system and SAP system. Ensuring the integration of the system with other accounting or ERP software used by the company.
- Testing and troubleshooting: Conducting tests to ensure the e-invoicing system is working correctly, identifying and resolving any issues, and collaborating with IT support as per senior’s instruction if necessary.
- Setting up electronic invoicing systems: Assisting in the implementation of e-invoicing software or platforms, ensuring that the system is properly configured for the business needs.
3. Finance Administrative Works
Supporting Financial Recordkeeping
- Maintaining financial records: Assisting in the proper filing and organization of financial documents such as balance sheets, profit and loss statements, and cash flow reports. Ensuring that records are accurate and organized for easy access and future reference.
- Data entry and processing: Inputting financial data such as invoices, receipts, payments, and deposits into accounting software or spreadsheets. Ensuring the data is accurate and up to date to maintain the integrity of financial records.
- Assisting with reconciliation: Helping reconcile bank statements and accounts payable/receivable records to ensure that all transactions match and are correctly documented.
Invoice Processing and Payment Management
- Managing incoming invoices: Sorting, reviewing, and validating invoices from vendors, suppliers, and contractors. Ensuring that the invoices meet company requirements and match quotations.
- Tracking payment schedules: Keeping track of payment due dates for invoices, ensuring that payments are processed on time and in accordance with company terms and vendor agreements.
- Coordinating with finance team or accounting department: Communicating with the finance team to ensure that payments are processed and recorded correctly. Assisting with verifying payment authorizations and ensuring funds are available for payments.
Financial Reporting and Documentation
- Preparation of financial reports: Helping compile monthly, quarterly, or annual financial reports for management review. This includes gathering necessary financial data, preparing spreadsheets, and summarizing key financial metrics.
- Support with financial audits: Coordinating with external auditors by providing requested documents, answering questions, and helping ensure a smooth auditing process.
- Assisting with tax filings: Supporting the preparation of financial statements and reports needed for tax filings. This may involve gathering necessary documentation, calculating deductions, and preparing reports for auditors or tax professionals.
- Documenting financial transactions: Ensuring all financial transactions are well-documented, including maintaining clear records of payments, receipts, and reconciliations for audit purposes.
Compliance and Internal Controls
- Supporting internal audits: Assisting in preparing for audits by gathering necessary financial documentation and reports. Ensuring records are organized and compliant with accounting standards and regulatory requirements.
- Tracking compliance deadlines: Keeping track of important deadlines related to taxes, financial reporting, and regulatory filings. Ensuring that all relevant documents are submitted on time to avoid penalties.
Requirements
- Prefer candidate with background in accounting/finance/business
- At least 3 months, preferably six months
