Personal Assistant Duties Calendar Management: Organize and maintain the executive’s schedule, including meetings, appointments, and travel arrangements. Ensure timely reminders and updates on all commitments. Travel Coordination: Plan and book flights, accommodations, and transportation for business trips. Prepare itineraries and ensure travel documents are in order. Communication Handling: Act as the primary point of contact between the executive and internal/external parties. Manage emails, phone calls, and correspondence on behalf of the executive. Task Prioritization: Assist in prioritizing and delegating tasks to ensure efficient time management. Administrative Duties Office Administration: Oversee daily administrative operations, including managing office supplies and liaising with vendors. Organize and maintain files, records, and databases. Meeting Coordination: Schedule and prepare materials for internal and external meetings. Take minutes during meetings and follow up on action items. Document Preparation: Draft and edit reports, presentations, and correspondence. Ensure accuracy and completeness of all documentation. Expense Management: Process and track expense reports, invoices, and reimbursements. Assist with budgeting and financial tracking as needed. 3. Stakeholder Engagement Internal Coordination: Work closely with various departments to ensure smooth operations. Support team projects and events as required. Client Relations: Handle inquiries and maintain relationships with clients and stakeholders. Represent the executive professionally in interactions with external parties. 4. Ad-Hoc Duties Provide support for personal tasks as required by the executive, such as event planning or personal errands. Assist with special projects and assignments.
