Roles and Responsibilities of an Operations Executive

Purpose of the Role

The Operations Executive plays a crucial role in ensuring the seamless execution of day-to-day operations. This role involves coordinating with clients, managing giggers and ensuring operational efficiency to meet organizational goals.

Key Responsibilities

1. Recruitment and Onboarding Coordination

  • Manage the end-to-end onboarding process for giggers, ensuring all documentation is complete and aligns with clients' requirements.
  • Collaborate with clients to understand job specifications and identify suitable candidates for placement.
  • Maintain and update a comprehensive database of giggers, ensuring accuracy while incorporating reviews and feedback to enhance selection processes.
  • Proactively engage with giggers (both existing and new) to address outlet shortfalls caused by last-minute cancellations, no-shows, or unforeseen changes.

2. Operational Tasks

  • Regularly monitor and update all job postings on certain platform to ensure accuracy and relevance.
  • Track deployment statuses for each assigned outlet, addressing challenges in sourcing giggers for specific roles, shifts, and outlets by promptly escalating concerns to the Team Lead.
  • Oversee daily operations by managing check-ins and arranging replacements for no-shows or last-minute cancellations, both for the current day and the next seven days.
  • Consistently update users on the status of their job applications, while addressing job-related inquiries promptly and efficiently.
  • Collaborate with the relevant teams to ensure accurate and timely payroll processing, including verifying bank account details, payment schedules, expense endorsements, and reimbursements.

3. Client Relationship Management

  • Ensure prompt resolution of any issues, including onboarding concerns and job-related inquiries, to maintain smooth operations.
  • Provide regular updates to clients on job statuses and feedback received from giggers to keep them informed.
  • Respond to client requests in a timely manner, ensuring their needs are met efficiently.

4. Compliance and Reporting

  • Ensure that all operations comply with Singapore’s labor laws, the Tripartite Alliance for Fair and Progressive Employment Practices (TAFEP), and minimum wage regulations.
  • Prepare and submit comprehensive operational reports to the Team Lead, highlighting key performance metrics, challenges encountered, and providing recommendations for continuous improvement.

5. Technology and System Management

  • Contribute insights and recommendations to enhance the functionality and user experience of internal systems and client-facing applications, ensuring they meet the evolving needs of the business.

6.Training and Support

  • Onboard new users to use the app, providing guidance on how to book slots, understanding job details, payment schedules, and other relevant features.
  • Deliver foundational training to giggers on company policies, expectations, and client-specific requirements to ensure a smooth and efficient work experience.
  • Assist team members in implementing new operational procedures and best practices, fostering a collaborative and effective work environment.

7. Conflict Resolution

  • Address and resolve conflicts between users and clients with professionalism and efficiency, ensuring a positive outcome for all parties involved.
  • Escalate critical issues to higher management as needed, ensuring timely and appropriate action is taken.
