Key Responsibilities: Account Bookkeeping & Financial Management: Maintain accurate and up-to-date financial records by entering accounts payable (AP) supplier invoices. Ensure financial accuracy and compliance with internal standards. Invoice Issuance & Payment Collection: Generate and issue invoices for sales and services, and ensure timely collection of payments. Follow up with clients as needed to ensure payments are received promptly. Auction Documentation & Reporting: Assist in the preparation of auction documentation, including listings, affidavits, and auction reports. Ensure accurate and organized record-keeping of all auction transactions. Cataloging Auction Items & Images: Assist in the cataloging process by ensuring that auction items are accurately described and photographed. Prepare high-quality images and detailed descriptions for each item to be included in the auction catalog. Work closely with the team to ensure that all auction materials are prepared on time. Office Administration & Operations Support: Perform essential administrative tasks such as filing, data entry, and correspondence. Ensure smooth daily office operations and provide support to the wider team. Client & Consignor Communication: Handle basic communication with clients and consignors regarding invoicing, payments, and auction queries, providing excellent customer service. Requirements: Minimum Diploma in Accounting, Business Administration, or related field. 1-2 years of experience in administrative and accounting roles, preferably in a fast-paced environment. Solid understanding of accounting principles and bookkeeping practices. Proficiency with accounting software (e.g., Autocount) and MS Office (Excel, Word). Strong attention to detail with excellent organizational and time-management skills. Ability to work independently with a proactive approach to problem-solving. Strong communication skills and a customer service-oriented mindset.
