We are seeking a highly organized and detail-oriented Tender Secretary to join our team. This position is ideal for fresh graduates or professionals with 1-3 years of experience in contract management or working within a manpower supply company, inspection tracking company, or non-destructive testing (NDT) company
Key Responsibilities
Tender and Contract Management
- Review incoming requests and segregate them into tender-related requests and contractual matters for appropriate handling.
- Maintain a structured filing system for tender documents, contracts, and related correspondence for easy retrieval.
- Coordinate the preparation, compilation, and submission of tender documents within the specified deadlines.
- Ensure compliance with company and client requirements in all tender submissions.
- Assist in the preparation of contracts, including reviewing and ensuring accuracy of terms and conditions.
Documentation and Reporting
- Maintain and update the tender register and contract database to monitor the progress of ongoing submissions and agreements.
- Prepare periodic reports on tender and contract activities for management review.
- Handle correspondence related to tenders and contracts, ensuring timely follow-ups and responses.
Compliance and Quality Assurance
- Verify that tender submissions are complete, accurate, and formatted according to client specifications.
- Ensure adherence to company policies and industry standards in all tender and contract processes.
Stakeholder Coordination
- Act as the point of contact between internal departments, clients, and vendors for tender and contract matters.
- Provide guidance to team members on tendering and contractual procedures as needed.
Confidentiality and Security
- Handle sensitive information related to tenders and contracts with the highest level of confidentiality.
- Implement secure storage and disposal practices for sensitive documents.
Requirements
- Education: Diploma or degree in a related field.
- Experience: 1-3 years in handling contracts, manpower supply, inspection tracking, or NDT. Fresh graduates are encouraged to apply.
- Strong organizational skills with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and meet strict deadlines.
Job Types: Full-time, Contract
Contract length: 1 month
Pay: RM1,800.00 - RM3,000.00 per month

- Monday to Friday
