Job Responsibilities

  • Process and manage sales orders, quotations, and invoices from initial request to completion.
  • Maintain accurate customer records, including contact details, purchase history, and payment status, in the CRM or ERP system.
  • Monitor and update the status of orders to ensure timely communication with customers and the production team.
  • Verify pricing, discounts, and terms as per company policies before finalizing sales documents.
  • Customer Relationship Management:
  • Serve as the first point of contact for customers regarding sales inquiries, orders, and follow-ups.
  • Address customer complaints or escalate issues to the appropriate department for resolution.
  • Develop and maintain strong relationships with customers to ensure repeat business.
  • Collaborate with the factory logistics team to schedule deliveries and ensure timely dispatch of goods.
  • Monitor and track the status of deliveries, providing updates to customers as needed.
  • Ensure all necessary delivery documentation, such as delivery orders and shipping manifests, is accurate and complete.
  • Generate sales reports, including monthly and quarterly performance metrics, and present findings to the sales manager.
  • Track customer payment statuses and coordinate with the accounts team for payment follow-ups or discrepancies.
  • Provide data and insights to support the sales team in achieving their targets.
  • Manage correspondence, filing, and other administrative tasks related to sales operations.
  • Maintain office supplies and ensure the smooth operation of the sales admin office.
  • Coordinate meetings, schedules, and travel arrangements for the sales team if required.
  • Act as a communication bridge between the sales admin office, factory, and logistics teams to streamline operations.
  • Regularly communicate with the production and warehouse teams to confirm stock availability and delivery timelines.
  • Work closely with the accounts team to resolve billing or payment issues.
  • To perform any ad hoc tasks related to the Sales administration to be assigned by the superior from time to time.

Requirements

  • Education: Diploma or degree in business administration or related field preferred.
  • Experience: Previous experience in administrative support or sales environment is advantageous.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), familiar in social media marketin such as FB, IG, TikTok etc. are advantageous. Strong organizational and multitasking abilities, excellent communication and interpersonal skills.
  • Attributes: Detail-oriented, proactive, with a strong sense of confidentiality and the ability to work independently or as part of a team.
  • Working Conditions: Office-based environment. May require occasional overtime or travel depending on business needs.

Job Types: Full-time, Permanent

Pay: RM2,000.00 - RM2,800.00 per month
