Job Title: Warehouse Executive Job Summary: The Warehouse Executive is responsible for coordinating and overseeing all warehouse activities, including receiving, storing, inventory management, order fulfillment, and shipping. The role requires ensuring the smooth operation of the warehouse, optimizing space utilization, and maintaining a safe working environment. The Warehouse Executive will work closely with other departments to ensure timely and accurate delivery of products. Key Responsibilities: Inventory Management: Maintain accurate records of inventory levels, stock locations, and product conditions. Conduct regular stock audits and cycle counts to ensure inventory accuracy. Reconcile physical inventory with the warehouse ERP management system. Receiving and Dispatch: Oversee the receiving process to ensure all incoming goods are inspected, counted, and stored properly according to code on designated racks safely. Ensure all parts fulfill the minimum required quantity and quality and has the HOD approval before purchase. Ensure parts are requested only through AFA Requisition ERP by requestor. Ensure department end user collects and signs for parts received. Order Fulfillment: Manage dispatch operations, ensuring that outgoing shipments are handled efficiently and meet customer requirements. Process and fulfill customer orders promptly and accurately. Coordinate with the sales and logistics teams to ensure timely delivery of goods. Monitor and manage the picking, packing, and shipping processes. Inform vendor when necessary to collect, modify and issue TDN if required. Perform dispatch duties when needed. Warehouse Organization: Optimize warehouse layout for efficient storage and retrieval of products. Implement best practices for space utilization, organization, and cleanliness. Ensure that all products are stored in the correct locations and are easily accessible. Reporting and Documentation: Prepare and submit monthly stock count and stock closing reports and when required, reports on warehouse operations and performance metrics. Maintain accurate documentation for all warehouse activities, including receipts, shipments, and inventory transactions. Vendor Service: Work closely with vendors service teams to ensure customer satisfaction. Qualifications: Bachelor's degree in logistics, supply chain management, business administration, or a related field. Proven experience in warehouse management or a similar role. Strong knowledge of warehouse operations, inventory management, and logistics. Proficiency in warehouse management systems (ERP) and Microsoft 365 (Office) Excellent organizational and time-management skills. Strong leadership and team management abilities. Ability to work under pressure and meet deadlines. Good communication and interpersonal skills. Working Hours : 8am to 6pm (Monday to Friday) OT : when required after work hours on weekdays and during weekends/public holidays.
