What You’ll Be Doing:
For Senior Admin Executives:
- Oversee the entire office’s day-to-day operations, ensuring things run like clockwork for both internal teams and external clients.
- Manage client communications and schedules—no missed meetings on your watch!
- Lead HR-related activities such as recruitment, onboarding, and employee records for both in-house staff and clients.
- Coordinate with vendors and service providers, ensuring the office never runs out of essentials (and yes, that includes coffee!).
- Prepare reports, monitor administrative budgets, and optimize processes to keep things efficient.
- Assist in planning and organizing internal events, team-building activities, and client meetings.
- Mentor junior staff, sharing your expertise to help the team grow.
For Junior Admin Executives:
- Support the senior admin team in ensuring smooth office operations every day.
- Handle basic office tasks like filing, data entry, scheduling, and organizing meetings for internal teams and clients.
- Assist with HR functions like onboarding new team members, updating employee records, and preparing documents.
- Keep track of office supplies and liaise with vendors—making sure everything is well-stocked and organized.
- Jump in to assist with internal events and celebrations, because we like to keep things fun around here!
- Learn from senior team members, growing your skills and becoming a vital part of the admin team.
Who You Are:
For Senior Admin Executives:
- You have a diploma or degree in Business Administration (or similar) with at least 4-5 years of experience in managing office operations.
- You’re a multitasking pro who can handle client communications, HR tasks, and office management like a breeze.
- Proficient in Microsoft Office and admin tools, with excellent organizational skills.
- You’re a natural leader, guiding junior staff and ensuring everything runs smoothly.
For Junior Admin Executives:
- You’re either a fresh graduate or someone with 1-2 years of experience in office administration.
- You’re organized, detail-oriented, and eager to learn.
- Proficient in Microsoft Office and ready to take on new challenges.
- Friendly, approachable, and a great communicator, you enjoy working in a team and supporting others.
