Hengyuan Refining Company Berhad (HRC) is a leading petroleum refining company located in Nilai, Malaysia. The company manages and operates a refinery in Port Dickson, Negeri Sembilan with a licensed production capacity of 156,000-bpd. HRC is a subsidiary of Malaysia Hengyuan International Limited (MHIL), which is in turn owned by Shandong Hengyuan Petrochemical Company Limited. The company provides employment for over 500 individuals and is a key player in the petroleum industry.

Role Description

This is a full-time role based in Port Dickson, Negeri Sembilan. As the Corporate Reputation & External Relations Executive at HENGYUAN REFINING COMPANY BERHAD, you will be responsible for managing the company's external communications and reputation, playing a crucial part in achieving the organization's strategic goals.

The principal accountabilities of the Corporate Reputation & External Relations Executive shall cover:

Development of Annual and Sustainability Reports

  • Responsible for the development of the Annual and Sustainability Reports, where the incumbent is required to:
  • Coordinate and communicate with various departments to compile, collate, and organize information.
  • Coordinate with appointed agency/agencies to support the development and production of reports.
  • Monitor and manage development and production timelines and deadlines of the reports.
  • Ensure the Company’s annual regulatory reporting is complete and accurate by closely coordinating with the Company Secretary and Legal departments throughout the development process.

Internal and External Communication

  • The incumbent is responsible for supporting the Section Head in content creation and curation for both internal and external communications.

For external communication:

  • Draft speeches and talking points for Management participating in external events.
  • Draft write-ups for media publication (online and print).
  • Update content on the corporate website and social media.
  • Update the corporate presentation slide pack.
  • Review content developed by other departments intended for publication or presentation on external platforms, including materials for exhibitions and roadshows.
  • Co-manage, with the Section Head, correspondences sent to the Corporate Affairs mailbox. Responsibilities include routing sender emails to the correct department for further action and responding to questions from shareholders in a timely manner. The Corporate Affairs mailbox should be monitored Monday to Friday during office hours.

For internal communication:

  • Draft speeches and talking points for Management participating in internal events.
  • Review internal communication drafts submitted by departments and publish the approved internal communications to all employees. The incumbent will also be tasked with drafting internal communications and updating content on the main page of the intranet.

Event Planning & Execution – Annual General Meeting

  • Responsible for the planning and execution of the Company’s main event, the Annual General Meeting, where the incumbent is required to:
  • Support the Section Head with logistics related to the event, including coordination with appointed agencies for venue booking, AV equipment rental, photo/videography, and branding at the venue.
  • Assist the Section Head in developing AGM presentation slides, the CEO’s presentation materials, and a list of anticipated questions.
  • Coordinate with appointed agencies to submit materials required prior to the scheduled AGM date.
  • Monitor and manage event timelines and deadlines, organizing weekly progress meetings and rehearsals.
  • Additionally, the incumbent may be tasked with planning and organizing other corporate events as instructed by Management.

Sustainability and ESG Initiatives

  • Support the implementation of initiatives, policies, procedures, and guidelines aligned with HRC’s Sustainability & ESG Framework, and serve as the secretariat of the Sustainability Steering Committee.
  • Track and monitor HRC’s sustainability/ESG performance, where HRC receives ratings from entities such as FTSE4GOOD.

Image Library & Branding Materials

  • Act as custodian of HRC’s image bank, responsible for arranging corporate photography for annual and sustainability reports, as well as for the website.
  • Manage and monitor inventory of corporate brand materials, including buntings and mobile exhibition units.

Crisis Response & Issues Management

  • As a member of the Emergency Management Team (EMT), the incumbent will support the coordination of crisis communication and issues management.

Department Administration Matters

  • Act as the department focal point (for Corporate Affairs) on all administrative matters and operations, including monitoring budget and expenses, purchasing, and other administrative tasks.
  • The incumbent may occasionally be selectively involved in special initiatives or projects as instructed by Management.

Qualifications

  • Degree in Mass Communication/ Communication/ Marketing/ Business Administration/ Journalism/Public Relations, or a related field
  • Minimum 3 years of experience in corporate communications, public relations, marketing communication or a similar role
  • Strong written and verbal communication skills, with the ability to tailor messages for different stakeholders
  • Good command of spoken and written English.
  • This role requires the ability to confidently manage multiple assignments; therefore, strong project management and organizational skills, along with attention to detail, are essential.
  • Proficient in all Microsoft Office applications.
  • Experience with Canva, Adobe Illustrator, and InDesign is advantageous.
