Roles & Responsibilities:
- Documentation Management:
- Prepare, organize, and maintain project documentation, including contracts, reports, and correspondence.
- Ensure all project files are up-to-date and accessible to team members.
- Research Support:
- Conduct research to gather relevant data and insights that support project planning and execution.
- Compile and present research findings to assist in decision-making processes.
- Procurement and Invoice Management:
- Document all purchases related to the project, ensuring accuracy and compliance with procurement policies.
- Monitor and follow up with vendors to ensure invoices are submitted on time.
- Coordinate with the finance department to process vendor invoices promptly.
- Administrative Support:
- Assist the project team with scheduling meetings, preparing agendas, and recording minutes.
- Coordinate communication among project stakeholders to ensure alignment and clarity.
- Quality Assurance:
- Review project documents and deliverables for accuracy and completeness.
- Ensure adherence to project timelines and escalate any delays or issues to the project manager.
Requirements:
- Education: Bachelor’s degree in Business Administration, Project Management, or a related field.
- Experience: Minimum of 2 years in a project coordination or administrative role, preferably within a similar industry.
- Skills:
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite and project management software.
- Attention to detail and a high degree of accuracy.
- Ability to work independently and collaboratively within a team.
- Knowledge: Familiarity with procurement processes and vendor management is advantageous.
- Technological Proficiency: Experience with AI tools and a demonstrated ability to adapt to new technologies quickly.
- Agility: Capacity to think and work swiftly in a dynamic environment.
