Job Responsibilities:
- Oversee CEO Office Operations
- Provide comprehensive administrative and organizational support to the CEO.
- Maintain and manage documentation systems, ensuring proper filing and accessibility of all records.
- Act as the primary point of contact for the CEO, managing communication channels, including emails and calls.
- Scheduling and Coordination
- Manage the CEO’s calendar, including scheduling appointments, organizing meetings, and sending reminders.
- Prepare and distribute agendas, minutes, and supporting documents for meetings.
- Travel and Logistics
- Plan and coordinate travel arrangements, including flight bookings, accommodations, ground transportation, and itineraries.
- Financial and Asset Management
- Perform personal and corporate banking tasks as assigned, including monitoring transactions and maintaining accurate records.
- Handle personal banking and asset management, including:
- Credit card statement reconciliation
- Managing petty cash
- Submitting expense claims
- Personal income tax computation and documentation
- Team Management
- Supervise and coordinate tasks for the Account Executive and Junior Videographer cum Editor. Review Personal IP content before posting.
- Miscellaneous
- Run errands as requested, ensuring timely completion
- Draft and proofread correspondence such as emails, letters, and reports.
- Coordinate events, including preparation for speaking engagements, official functions, or corporate activities.
- Maintain confidentiality in all tasks and communications.
Job Requirements:
- Minimum 2-3 years of experience in administrative/executive support roles or related fields.
- Minimum Diploma in Secretarial Studies / Business studies or equivalent
- Strong organizational skills, attention to detail, and a high level of accuracy, especially regarding deadlines.
- Ability to maintain confidentiality surrounding company materials and information.
- Possess a highly organized work style with excellent interpersonal skills.
- Demonstrate high accountability, professional work ethics, and integrity.
- Preferred self-initiative and adaptable personality to handle dynamic tasks.
- Excellent Mandarin & English communication skills, both written and verbal, with sound judgment and decision-making abilities.
- Proficiency in MS Office Suite and Outlook, with expertise in Excel analysis, Word, and PowerPoint.
- A mature personality is willing to undertake moderate travel as required.
- This position demands a proactive individual who can efficiently manage the CEO's office tasks while upholding the highest level of professionalism and confidentiality.
