Job Overview:

We are seeking a proactive and organized Personal Assistant to support our dental clinic’s operations. The ideal candidate will be responsible for managing enquiries, coordinating daily activities, and ensuring smooth communication between the doctor, staff, and patients.

Responsibilities:

1. Handling Enquiries:

Respond to patient calls, messages, emails, and walk-in enquiries promptly.

Provide accurate information about the clinic's services, treatments, and appointments.

Schedule, confirm, and manage appointments efficiently.

2. Administrative Support:

Assist the doctor with daily tasks and reminders.

Prepare documents, reports, and patient files as needed.

Maintain organized records of patient information and clinic activities.

3. Coordination:

Act as the main point of contact between the doctor and patients/staff.

Communicate the doctor’s instructions to the team.

Coordinate with suppliers, vendors, or other service providers when necessary.

4. Customer Service:

Ensure a welcoming and professional atmosphere for all patients.

Address and resolve patient concerns in a polite and timely manner.

5. Other Duties:

Assist the doctor during procedures or consultations if required.

Manage the clinic’s inventory and order supplies when needed.

Perform ad hoc tasks as instructed by the doctor.

Requirements:

Proficiency in English, Malay, and Mandarin is an advantage.

Strong organizational and multitasking skills.

Excellent communication and interpersonal skills.

Previous experience in a clinic or healthcare setting is a plus.

Familiarity with scheduling and administrative software is preferred.
