Job Roles & Responsibilities:-

  • Maintain and optimise detailed calendars for top management, demonstrating discretion and maturity in handling sensitive scheduling matters.
  • Proactively resolve conflicts while prioritising appointments strategically.
  • Exhibit a high level of professionalism in written and verbal communications, emphasising confidentiality.
  • Handle incoming communications promptly and discreetly.
  • Coordinate comprehensive travel logistics with a mature approach, ensuring the executive's comfort and well-being during trips.
  • Organise and facilitate high-level meetings, emphasising a harmonious atmosphere and efficient collaboration.
  • Establish and maintain an organised document management system with a focus on confidentiality.
  • Implement a structured filing system to enable quick and discreet retrieval of critical information.
  • Exercise discretion in handling sensitive information, adhering to strict confidentiality protocols.
  • Develop and maintain procedures to safeguard and secure confidential data.
  • Provide comprehensive support in planning, executing, and documenting various projects with a mature and collaborative mindset.
  • Demonstrate problem-solving skills, and promotes a positive work atmosphere.
  • Scrutinise and manage expense reports with meticulous attention to detail, emphasising confidentiality and adherence to organisational policies.
  • Facilitating effective communication between top management and various teams.
  • Act as a mature and reliable liaison, ensuring streamlined information flow and task coordination.
  • Provide dedicated support in various administrative tasks, emphasising professionalism.
  • Assist in managing office supplies, equipment, and other administrative resources.
  • Support in the execution of organisational strategies outlined by top management, emphasising a mature and strategic approach.
  • Collaborate with teams to ensure strategic initiatives are implemented harmoniously.
  • Respond promptly and effectively to any ad hoc requests from top management, demonstrating maturity and adaptability.
  • Any other reasonable duties as required

Qualification:-

  • Minimum Bachelor’s Degree in Secretarial or Office Administration.
  • Proven experience as an executive assistant with a mature and trusted approach.
  • Basic accounting & HR knowledge will be added advantage.
  • Expert level written and verbal communication skills .
  • Strong literacy and verbal reasoning and proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars.
  • Reliable, responsive, discrete, confidential and diplomatic.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Knowledge of standard office administrative practices and procedures.
  • Confident, proactive, self-motivated and organised approach.
  • Emotional maturity.

Job Types: Full-time, Contract
Contract length: 3 months

Pay: RM4,000.00 - RM5,000.00 per month
