Accounts Payable & Receivable:

  • Process invoices, verify payment terms and ensure timely payment to vendors.
  • Monitor outstanding receivables, follow up on overdue accounts and maintain accurate records of customer payments.
  • Reconcile customer accounts and resolve any discrepancies.

    General Ledger:

    • Assist with the preparation and posting of journal entries.
    • Reconcile general ledger accounts and assist with month-end and year-end closing procedures.

      Payroll Support:

      • Assist with processing payroll on a bi-weekly or monthly basis, ensuring compliance with company policies and relevant regulations.

        Financial Reporting:

        • Prepare basic financial reports, including income statements, balance sheets and cash flow statements, under the direction of the senior accountant.

          Inventory & Cost Tracking:

          • Support inventory tracking and cost allocation for printed materials and advertising products.
          • Monitor raw material costs and assist in reporting on cost efficiency.

            Record Keeping:

            • Maintain organized and up-to-date financial files, including invoices, receipts and financial statements.

              Compliance & Auditing:

              • Assist with internal audits and prepare supporting documentation as needed.
              • Ensure adherence to financial policies, standards and best practices.

                Customer & Vendor Relations:

                • Communicate with clients and suppliers regarding account status, payments and discrepancies.

                  Other duties as assigned:

                  • Provide administrative and accounting support to other departments as needed.

Education:

  • High School Diploma or equivalent required.
  • Associate’s degree in Accounting, Finance or related field preferred.

    Experience:

    • 1-2 years of experience in accounting or bookkeeping, preferably in a printing, advertising or manufacturing environment.
    • Familiarity with accounting software (SQL, QuickBooks, Sage or similar) and Microsoft Office Suite (Excel, Word).

      Skills:

      • Strong understanding of basic accounting principles and financial reporting.
      • Exceptional attention to detail and accuracy.
      • Ability to manage multiple priorities and meet deadlines.
      • Excellent written and verbal communication skills.
      • Strong problem-solving skills and proactive attitude.
