Job Scope 1. Human Resources (HR) Tasks: Update and manage daily records including sick leave (MC), unpaid leave (UPL), annual leave (AL), absenteeism (ABS), paid sick leave (HL), and public holidays (PH). Prepare and file documents such as application forms, exit passes, and overtime (OT). Verify punch card records to ensure employee attendance is accurately recorded. Prepare files for new employees, including offer letters and other necessary documents. Prepare and file documents related to KWSP, SOCSO, EIS, HRDF, PH, and taxes before or by the 13th of each month. Ensure accurate and organized filing of personal employee records. Any task from supervisor. 2. License and Bill Management: Review and renew licenses required for the business or company activities (e.g., MBSP, SSM). Check and remind relevant bills such as electricity, water, Unifi, Maxis, and other bills required by the company. 3. Office Supplies and Stock Management: Control and monitor the usage of office supplies (e.g., A4 paper, pens, toilet paper, etc.) based on staff requests. Order office supplies or equipment when identified needs arise or when stock is running low. 4. Document and File Management: Prepare and organize files for all new and departing employees. Organize and file office documents to ensure they are easily accessible to the relevant parties. Prepare and manage HR documents, including employee files and record management. 5. Attendance and Leave Management: Review and record employee attendance data each month based on punch cards, systems, or manual records. Prepare monthly attendance reports to be submitted to HR or the manager. 6. General Administration: Manage office regulations such as document filling and reporting required by the manager or other departments. Act as an intermediary to receive and send documents to the relevant department. 2. Sales and Marketing (Task) (Support): Print and verify airway bills, including verifying COD (Cash on Delivery) and Ship Today for required shipments. Respond to customer chats on the online shop, answering queries, providing product information, and resolving customer issues. Support closing sales at the physical store by interacting with customers directly, assisting them in choosing products, and promoting available products. Update and manage product inventory in the online shop and physical store to ensure product availability and avoid confusion. Collaborate with the marketing team to plan and execute promotional activities, discounts, and new marketing strategies. Build and maintain good relationships with customers, gather feedback, and look for opportunities to improve customer service. 3. Inventory Management (Task)(Support): Close stock in the online shop when products are out of stock or unavailable. Ensure that out-of-stock products are no longer displayed on the online shop platform. Update product stock regularly in the online shop and ensure that product availability information is accurate. Monitor product stock in real-time to ensure that newly received or re-stocked items are immediately updated in the system or e-commerce platform.
